Bar management

  • Maintaining bar supplies
  • Assess inventory levels of beer, wine, liquor and order required stock
  • Oversee delivery of beer from Red Truck to ensure the accuracy of deliveries
  • Purchase and pick up wine and liquor stock
  • Assess inventory level of food and miscellaneous supplies, purchase and pick up required goods
  • Carry out a periodic physical inventory of beer, wine, liquor and merchandise
  • Ensure liquor licenses are maintained. This includes renewals, and purchase of special events requests, when necessary, also to be done with the Operations Manager
  • Ensure staffing of the canteen by volunteers meets regulatory requirements including scheduling of workers with “Serving it Right” accreditation
  • Oversight of empty (refundable) bottle pickup and removal including regular washing of bins
  • Complete cash-out sheets for all dates clubhouse canteen is open
  • Limited assistance to sports sections for the use of clubhouse
  • Maintain sales documentation as required by BCLDB
  • Manage the behavior of clubhouse users to ensure compliance with BCLDB regulations and the club code of conduct

Clubhouse management

  • Scheduling special events through the Operations Manager
    • Coordinating with other clubhouse users to avoid conflicts and reviewing schedule
    • Coordinating catering for special events which may include preparing food for events
    • Preparing agreements for particular event clubhouse use
  • Coordinating clubhouse use with all sports sections (Home games and clubhouse events)
  • Ensuring clubhouse facilities are cleaned as necessary. This includes the canteen and change rooms
  • Assessing and maintaining a supply of janitorial supplies
  • Ensuring that billeted players meet their expected contributions to clubhouse maintenance
  • Oversight and coordination of garbage pickup
  • Oversight and coordination of recycling pickup
  • Stock and manage bathroom supplies
  • Clean bathrooms as necessary (external cleaners are only used for special events)
  • Managing clubhouse cable TV subscriptions
  • Securing the clubhouse
    • Provide access as necessary
    • Ensure the clubhouse is properly locked after use
    • Deal with non-authorized visitors to the clubhouse including possible vandals
    • Daily clubhouse checks (morning and night)
  • Maintain clubhouse electrical systems including
    • Changing lights
    • Re-setting fuses/circuit breakers
    • Calling in electricians for emergency repairs
    • Turning off field lights when sports sections don’t
  • • Maintaining clubhouse plumbing systems including
    • Unclogging toilets
    • Calling in plumbers for emergency repairs
  • Oversee annual fire inspection
  • Manage relationships with clubhouse neighbors with help of the Operations Manager
  • Coordinate clubhouse facility use with neighboring schools
  • Set up the PA system as requested
  • Maintain outdoor patio area including setting up tents, and lights with help of the Billets
  • Take care of club cat including feeding, cleaning the litter box, taking it to the vet
  • Ensure that clubhouse walkways are cleared of snow with the help of the Billets
  • Maintain the clubhouse key box and provide keys to authorized users
  • Manage the mail that arrives at the clubhouse – collect mail and distribute to appropriate recipients – pigeon holes in President’s Room

Note

  • Club Hours of Operation are to be revised by the board and Operations Manager
  • Approx. regular opening hours of Tuesday to Friday (5 pm-10 pm) and Sat (10 am-10 pm) and Sun (10 am-2 pm). These are rough placeholders to be confirmed.
